Insurance Requirements & Hold Harmless Agreement

All permit applicants or Organizations must provide proof of insurance in order to gain an approved permit.  No permits will be granted until coverage is provided and verified.  The options for satisfying insurance requirements are to provide proof of your own general liability insurance or to purchase it through the Board.

 

Option 1

 

Your own policy must be a comprehensive general liability Certificate of Insurance in a minimum amount of $2million coverage per occurrence ( not an aggregate ), and name the Hamilton Wentworth Catholic District School Board as an additional insured/ certificate holder.

Please provide the following information to your insurance broker for inclusion on your policy:

Email the Certificate of Insurance (COI) to [email protected]

or upload to files of your account and inform the CUS rental office that you have submitted it. 

Please also update your insurance information in your ebase account. 

If you are providing your own COI, please note:

  • In your permit application, please select “use Organization’s insurance”  – This will auto-populate your permit application with the appropriate insurance and save time in processing
  • Your Policy coverage must be issued to / match the name of your Organization
  • You are responsible for keeping your policy or coverage current
  • If your bookings extend beyond the policy expiry date, you are responsible for ensuring that the Board receives a new and updated policy that extends coverage for all bookings on your approved permit

 

Option 2

Purchase insurance through the Board.  If you choose this option, the Board will purchase insurance through our provider, OSBIE, on your behalf.  This is a great and affordable option for informal groups who do not have their own insurance coverage.  The policy you purchase is a general liability policy , not an accident or medical policy.  This coverage is not intended to replace insurance afforded to groups by any Provincial or National Sport Association.  Please see example policy below ( click blue link ), as to the coverage you gain once paid for.  The purchased policy provides protection for legal liability for bodily injury or damages to property of third parties including spectators and participants. 

Please note:

  • The option to purchase is selected in the permit application and appropriate costs will be added for insurance at time of permit approval
  • If you need to know costs prior to the permit approval, please ask through the discussion of the permit – Costs are based on a number of factors such as: nature of activity ( risk assessed ), number of people, length of permit and term of coverage, so costs vary for each permit application
  • Your credit card will be charged for the permit fee and purchased insurance in advance of the first booking in order to activate the insurance for that first booking.  If you are paying by cheque for your approved permit, payment must be received, in full, at least 2 weeks prior to the first booking on your permit to ensure policy coverage
  • The HWCDSB will assess a non-refundable brokerage fee of $ 15 per permit where insurance is purchased through the Board
  • Cancellation of Purchased Insurance
    • If your event/ permit is cancelled with sufficient notice ( similar to notice provided when cancelling a booking/ permit ) , and prior to the first booking, a full refund will be granted for purchased insurance 
    • If your event is cancelled after the start of your first booking, no refund will be granted for purchased insurance

Please note:

Activities that will not be covered/ prohibited on any purchased insurance policy include:

  • Boxing
  • Bouncy Castles
  • Bubble Soccer
  • Contact hockey
  • Contact Martial Arts
  • Dunk tanks
  • Fireworks
  • Gymnastics
  • Kick boxing
  • Lacrosse ( unless non-contact pick-up )
  • Rugby
  • Skateboarding
  • Tackle football
